Paradigm is a San Francisco-based investment firm focused on crypto and blockchain-related technologies across the globe, with over $8 billion in assets under management.  We make investments in companies and protocols at all stages, ranging from early-stage venture financing rounds to growth equity to liquid token assets.  Paradigm was co-founded in 2018 by Matt Huang (former partner at Sequoia Capital) and Fred Ehrsam (co-founder of Coinbase), and since then we’ve been hard at work building a world-class team to support our portfolio and the crypto ecosystem globally, with the broader goal of accelerating crypto’s ability to improve people’s lives worldwide.

Many of the startups we invest in are just getting off the ground, so we’re actively providing services and support to enable their growth. We’re looking for a part-time Office Manager for a new portfolio workspace we’re opening in NYC. This person would be in office ~3 days per week, and be responsible for day-to-day upkeep, working with property management and vendors to ensure smooth operations of the space.

This person would be joining a high-performing admin team, which today serves as the air traffic control group that helps Paradigm build fruitful relationships with investors and crypto entrepreneurs, in addition to being guardians of Paradigm’s team culture.

Responsibilities

  • Serve as a liaison between the SF Office and Building Management.
  • Provide weekly office status updates to the Paradigm admin team.
  • Coordinate with the IT department.
  • Coordinate with property management, facilities and other office-related vendors to ensure a safe and well-maintained work environment, process related work orders, and ensure follow-up.
  • Manage visitor access and greet them upon arrival: we frequently meet with founders who are important to our business, and so first impressions are crucial.
  • Receive and sort incoming mail and deliveries, and manage outgoing mail.
  • Manage office supplies inventory and place orders as necessary.
  • Stock, maintain and order all food and beverages for the office.
  • Lead the meal delivery / catering program.
  • Develop office policies and procedures, and ensure they are implemented appropriately.
  • Identify opportunities for process and office management improvements, and design and implement new systems: think outside the box and set the standard for expansive thinking. 
  • Support the venture investor with any administrative / office requests.
  • Qualifications

  • Fluent in Google office platforms and Microsoft Office, with a proven ability to manage time efficiently and prioritize multiple stakeholders, functions, and tasks.

    Who You Are:

    We are looking for an Executive Assistant to support of Chief Operating Officer, Head of Trading, and CEO of Blue Fire Trading in Chicago. Responsibilities include managing calendars, liaising with vendors, managing the flow of information, and streamlining expense reports and other back-office tasks. You will also assist with managing office events, liaising with building facilities and maintaining the office. You are excited about contributing to the team’s success by solving problems, being collaborative, and demonstrating intellectual curiosity.

    What You’ll Do:

    • Executive Assistant responsibilities for the COO, Head of Trading, and CEO of Blue Fire Trading, including managing calendars and scheduling meetings
    • Act as the main contact person for the office of the building regarding problems, repairs, improvements and the distribution of building events and notices to employee
    • Maintain inventory of office and kitchen supplies and replenish when needed
    • Coordinate with People’s Team to organize company events, activities, and lunches for Chicago office employees
    • Coordinate volunteer outings for Chicago office employees
    • Coordinate with IT for the setup of office and desk space for NY employees and other visitors
    • Greet Guests, distribute mail, maintain conference room calendar for all Chicago office employees and their guests
    • Log in visitors with security on building’s platform and request and program employee’s keycards in security system
    • Replenish refrigerator with water and soft drinks daily
    • Responsible for overnight deliveries with FedEx and UPS
    • Perform special projects as assigned
    • Assist with ad hoc admin requests

    What We’re Looking For:

    • 5+ years of administrative experience
    • Bachelor’s Degree
    • Extensive MS Office knowledge (Outlook, Word, Excel, PowerPoint)
